Promedionics ("we", "us", "our") respects your privacy and is committed to protecting your personal data in accordance with the EU General Data Protection Regulation (Regulation 2016/679, "GDPR") and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data. This policy explains how we collect and process personal data of the healthcare professionals and institutions that contact us, request quotations or place orders.

We collect the data you provide through our contact and quotation forms — your name, professional role, institution, email address, telephone number and the content of your message or order — together with technical data automatically generated when you visit the site (IP address, browser type and standard server logs). We do not knowingly collect special categories of data or patient data; please do not include any patient-identifiable information in your messages.
We process your data to respond to your enquiries, prepare quotations, process and follow up orders, provide product and clinical support, and meet our legal and accounting obligations. The legal bases under Article 6 GDPR are: the performance of a contract or pre-contractual steps at your request, our legitimate interest in operating and securing our business, compliance with a legal obligation, and — where applicable — your consent (which you may withdraw at any time).
Your data is shared only where necessary: with the manufacturers we distribute when strictly required to fulfil a specific request or order, and with the service providers (IT, hosting and email) that process data on our behalf as processors under appropriate agreements. We never sell your personal data. Where a recipient is located outside the European Economic Area, we ensure appropriate safeguards such as the European Commission's Standard Contractual Clauses are in place.
We retain personal data only for as long as necessary for the purposes described above: enquiry and quotation data for up to 2 years after our last contact, and order and invoicing data for the statutory retention period (currently 7 years under Belgian law). After these periods data is securely deleted or anonymised.
Under the GDPR you have the right to access your data and to request its rectification or erasure, to restrict or object to its processing, to data portability, and to withdraw any consent you have given. To exercise these rights, contact support@promedionics.eu; we will respond within one month.
If you believe your data has been processed unlawfully, you have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35, 1000 Brussels — www.gegevensbeschermingsautoriteit.be.
We apply appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, including encrypted transport (HTTPS), access controls and regular review of our systems.
